We do everything we can to safeguard your privacy and therefore handle personal data with care.

WESP vzw complies at all times with the applicable laws and regulations, including the General Data Protection Regulation (GDPR). This means that, in any case, we:

  • process your personal data in accordance with the purpose for which it was provided; these purposes and the types of personal data are described in this privacy statement;
  • limit the processing of your personal data to only the data that is strictly necessary for the purposes for which it is processed;

Why do we process personal data?

WESP vzw processes your personal data for the following purposes and on the following legal grounds:

  • to enable you to take part in the activities of WESP vzw (performance of a contract);
  • to send newsletters and invitations (consent of the data subject);
  • to obtain government subsidies (legal obligation).

For the above purposes, we may request and process the following personal data from you:

  • personal identification data: surname, first name, address, telephone number, e-mail address;
  • personal characteristics: gender, date of birth, place of birth, nationality.

We only use the data collected for the purposes for which it was obtained.

Disclosure to third parties

We may disclose the data you provide to us to third parties if this is necessary for the purposes described above. For instance, we use a third party for:

  • providing the online environment (web hosting);
  • providing IT infrastructure (including the IT network);
  • producing and distributing newsletters and invitations.

We never pass on personal data to other parties with whom we have not concluded a data processing agreement. With these parties (processors) we naturally make the necessary arrangements to ensure the security of your personal data. Furthermore, we will not pass on the data you have provided to third parties unless this is required and permitted by law. An example of this is when the police request (personal) data from us in the context of an investigation. In such a case we must cooperate and are obliged to hand over this data. We may also share personal data with third parties if you give us (written) consent to do so. You have the right to withdraw this consent at any time, without affecting the lawfulness of the processing carried out before its withdrawal. We do not provide personal data to parties established outside the EU.

Minors

We only process personal data of minors (persons under the age of 16) if written consent has been given by their parent or legal representative.

Visiting this website

Cookies. This website does not place any cookies of its own and does not use advertising or tracking cookies.

Technical data. Like every website, our web host processes technical data about your visit (such as your IP address, the time and the page requested) in order to operate and secure the website. We do not use this data to identify you.

Fonts. The fonts are hosted on our own server. No connection is made with Google to load them.

Statistics. We measure the use of the website with Cloudflare Web Analytics. According to the provider, this service works without cookies and does not track you across other websites. We use the figures (number of visits, pages viewed, referral source, country, device and website speed) to improve the website, not to recognise individual visitors.

Players and videos from other services. Some pages contain players from Spotify, SoundCloud, YouTube and Vimeo. These are only loaded after you click the button. Only then does your browser connect to that service, which can see your IP address and may place its own cookies. That processing is governed by the privacy policy of the service concerned. The preview images for videos are hosted on our own server.

Links to other websites. Our website also leads you to other websites, such as the ticketing platform, the newsletter service, forms and the websites of our partners. They are themselves responsible for what happens to your data there.

Retention period

WESP vzw does not retain personal data for longer than is necessary for the purpose for which it was provided, or than is required by law. The data is not kept for longer than five years.

Data security

We have taken appropriate technical and organisational measures to protect your personal data against unlawful processing. For example, we have taken the following measures:

  • all persons who may have access to your data on behalf of WESP vzw are bound by confidentiality;
  • we apply a username and password policy on all our systems;
  • we pseudonymise and encrypt personal data where there is reason to do so;
  • we make back-ups of personal data so that it can be restored in the event of physical or technical incidents;
  • we regularly test and evaluate our measures;
  • our staff have been informed about the importance of protecting personal data.

Your rights regarding your data

You have the right to access, rectify or erase the personal data we have received from you. How to contact us is stated at the top of this privacy statement. To prevent misuse, we may ask you to identify yourself adequately.

You also have the right to have the data you provided transferred by us to yourself or, at your request, directly to another party. We may ask you to prove your identity before we can comply with the aforementioned requests.

Complaints

Should you have a complaint about the processing of your personal data, we ask you to contact us directly. You always have the right to lodge a complaint with the Data Protection Authority, the supervisory authority in the field of privacy protection (gegevensbeschermingsautoriteit.be).
